Trip Policy
By booking a trip with Black Pearl Journeys, you agree to the following terms and conditions. Please read carefully before securing your reservation.
📌 Booking & Payments
• A non-refundable deposit is required to secure your spot on any Black Pearl Journeys experience.
• Deposits confirm your reservation and remove your seat from availability.
• Remaining balances must be paid according to the payment schedule provided at booking.
• Final payment is due no later than 60 days prior to departure, unless otherwise stated.
• Failure to make scheduled payments may result in cancellation of your reservation without refund.
💳 Payment Plans
• Payment plans are offered for select trips as a courtesy.
• Payments are automatically processed on scheduled dates.
• Travelers are responsible for ensuring valid payment methods are on file.
• Missed or declined payments may result in loss of reservation.
🔁 Cancellations & Refunds
• All payments are non-refundable, including deposits and installments.
• This policy exists due to contractual obligations with hotels, vendors, and service providers.
• If you request cancellation of booking more than 30 days prior to the first day of the schedule trip, the penalty is 50% of the amount paid. If you request cancellation of booking within 30 days of the first day of the schedule trip, the penalty is 100% of the amount paid
• No refunds will be issued for missed activities, early departures, or unused services.
🔄 Trip Changes & Modifications
• Black Pearl Journeys reserves the right to adjust itineraries, accommodations, or activities due to weather, safety, availability, or circumstances beyond our control.
• Any changes will maintain the overall value and quality of the experience.
• No refunds will be issued due to itinerary adjustments.
✈️ Flights & Transportation
• International and domestic airfare is not included unless explicitly stated.
• Travelers are responsible for booking flights that align with the group’s arrival and departure windows.
• Airport transfers are included only when stated in the trip inclusions.
🛂 Travel Documents & Requirements
• A valid passport (with at least 6 months validity beyond return date) is required for international travel.
• Travelers are responsible for visas, vaccinations, and entry requirements.
• Black Pearl Journeys is not responsible for denied entry or travel disruptions due to improper documentation.
🩺 Travel Insurance
• Travel insurance is strongly recommended for all travelers.
• Insurance should cover trip cancellation, medical emergencies, and travel disruptions.
• Black Pearl Journeys is not responsible for losses that could have been covered by insurance.
🧍🏽♀️ Traveler Responsibility & Conduct
• Travelers are expected to behave respectfully toward hosts, vendors, staff, and fellow guests.
• Disruptive, unsafe, or inappropriate behavior may result in removal from the trip without refund.
• Black Pearl Journeys reserves the right to refuse service to anyone whose conduct jeopardizes the group experience.
🏨 Room Assignments
• Room types are assigned based on selected package and availability.
• Shared-room travelers are expected to respect communal living standards.
• Requests for room changes are not guaranteed.
📸 Media & Marketing
• By participating, travelers grant Black Pearl Journeys permission to use photos and videos taken during the trip for marketing and promotional purposes.
• If you prefer not to appear in marketing materials, you must notify us in writing prior to departure.
⚠️ Assumption of Risk
• Travel involves inherent risks, including illness, injury, delays, and unforeseen circumstances.
• By booking, travelers acknowledge and accept these risks.
• Black Pearl Journeys is not liable for acts beyond its control, including natural disasters, government actions, or third-party service failures.
