Travel Subscriptions & Group Trip Terms & Conditions

These Terms & Conditions apply to all travel subscription services, group trips, retreats, and curated experiences offered by Black Pearl Journeys. By enrolling in a subscription, booking a group trip, or participating in any experience, you agree to the terms below.

1. Scope of Services

Black Pearl Journeys offers:

  • Travel subscription memberships

  • Curated group trips and retreats

  • Planning, coordination, and hosted travel experiences

We act as a travel coordinator and curator, not a direct provider of airlines, accommodations, or excursions.

2. Travel Subscriptions

Subscription Access

A travel subscription may include:

  • Early access to trips

  • Exclusive pricing or perks

  • Trip announcements and planning tools

  • Community access or hosted calls

Subscriptions do not guarantee trip availability, confirmed bookings, or reserved space on any trip.

Billing & Renewal

  • Subscriptions are billed on a recurring basis (monthly or annually)

  • Payments renew automatically unless canceled prior to the renewal date

  • Subscription fees are non-refundable

​

Cancellation of Subscription

You may cancel your subscription at any time. Access will remain active until the end of the current billing period.

3. Group Trip Bookings

Reservation Confirmation

A group trip booking is confirmed only when:

  • The registration form is completed, and

  • The required deposit or payment is received

Group trips operate on a limited-capacity basis.

Payment Plans

  • Installment plans must be paid on time

  • Missed payments may result in removal from the trip without refund

​

4. Pricing & Currency

  • Prices are typically listed in USD unless stated otherwise

  • Currency exchange rates and international fees are determined by payment processors

  • Black Pearl Journeys is not responsible for exchange fluctuations

5. Cancellations, Refunds & Transfers

Group Trip Cancellations (Guest-Initiated)

All payments—including deposits and installments—are non-refundable unless explicitly stated in writing.

​

Name Transfers

  • Some group trips allow name transfers before a specified deadline

  • Airline tickets and certain accommodations are non-transferable

  • Transfer fees may apply

​

Company-Initiated Cancellations

Trips may be canceled or modified due to:

  • Low enrollment

  • Supplier changes

  • Safety or force majeure events

Credits may be issued at our discretion. Refunds are not guaranteed.

6. Group Dynamics & Conduct

Group travel requires cooperation and mutual respect.

By participating, you agree to:

  • Respect group guidelines and trip hosts

  • Maintain respectful behavior toward all participants

  • Follow local laws and cultural norms

Black Pearl Journeys reserves the right to remove any participant whose behavior disrupts the group, without refund.

7. Travel Documents & Responsibilities

Each traveler is responsible for:

  • Valid passports and visas

  • Vaccinations and health documentation

  • Compliance with destination entry requirements

Failure to meet requirements does not qualify for a refund.

8. Travel Insurance

Travel insurance is strongly recommended and may be required for certain group trips. Insurance should include:

  • Trip cancellation/interruption

  • Medical emergencies

  • Evacuation and delays

9. Assumption of Risk

Group and international travel involve inherent risks. By booking, you voluntarily assume all risks related to travel, activities, and group participation.

10. Liability Limitations

To the fullest extent permitted by law:

  • Black Pearl Journeys is not responsible for acts or omissions of third-party suppliers

  • We are not liable for injury, illness, delays, or losses

  • Liability is limited to the amount paid directly to us

​

11. Third-Party Suppliers

Airlines, hotels, transportation providers, and excursion operators are independent entities governed by their own terms and local laws.

​

12. Photography & Media Release

Participation grants permission for photos and videos taken during group trips to be used for marketing and promotional purposes unless you opt out in writing prior to travel.

​

13. Data Use for Subscriptions & Group Travel

Personal information may be shared with suppliers or hosts solely to fulfill trip services. Subscription data is handled in accordance with our Privacy Policy.

14. Modifications to Trips or Subscriptions

Black Pearl Journeys reserves the right to:

  • Modify itineraries

  • Adjust trip inclusions

  • Update subscription benefits

Such changes do not constitute grounds for refunds.

15. Governing Law

These Terms are governed by the laws of the United States and the state in which Black Pearl Journeys is registered.
